A well-curated conference delegate pack has six items: printed lanyard with credentials + attendee name card, 38-42cm cotton tote bag for carrying everything, A5 branded notebook for session notes, quality branded pen, 500ml reusable water bottle, and a small tech gift (usually branded power bank or cable organiser). Budget $12–25 per delegate for a solid mid-tier pack, $25–45 for premium.

The lanyard is the most-visible item for the entire event — invest in quality there. Cheap scratchy flat-polyester lanyards irritate within a shift; tubular or dye-sublimated polyester cost marginally more and make the event feel professional. For multi-day conferences, insist on safety-breakaway buckles if attendees are in hospitality, healthcare or manufacturing industries.

For sponsor-tiered events, match merchandise to sponsor level: lead sponsors get full delegate pack with their logo + event brand co-branded; mid-tier sponsors get one co-branded item (often water bottle or tote bag); small sponsors get logo placement on a delegate-bag insert card.

Conference catering cups (branded 12oz reusable coffee cups for the coffee station) at $14–22 work brilliantly as take-home items that ALSO double as conference staff-managed serving vessels. Reduces single-use cup waste while delivering brand impressions post-event.

Lead times: 4–6 weeks for full coordinated bundles with decoration. Order 8+ weeks before event date — conference season (Feb-June in Australia) compresses production capacity. Delivery direct to venue or conference hotel standard; partial-shipment across multiple cities for roadshow events.
